Job Description

The Assistant Stores Officer will be assisting in coordinating all tasks related to receiving, issuing, shipping and storage of goods, maintaining inventory and associated records and ensure compliance with company policies and maintaining a high level of safety.

Key Responsibilities

Operational Planning   
  • Ensure safe custody of inventory and records – for the purposes of properly accounting for company inventory.
  • Maintain Bin cards and other supporting document for stockaccountability.
  • Ensure cleanliness of the storage room and properorganization of the stock on bins/ shelves.
  • Assisting in receiving and physical verification of stockinto Stores.
  • Ensure effective implementation of forecasting andcentralized distribution model
  • Ensure proper record-keeping for all INFRATEL Inventory.
Implementation of Operational Plans 
  • To ensure that Replenishment of stock to cover all regionsare done 2weeks in advance.
  • To ensure that the maintenance of inventory is according tocompany polices, process and procedures.
  • Ensure that all designated recipient SKU’s are replenishedwithin 7 days after the monthly count.
Reporting          
  • Prepare a daily Issues and receipts for all items in stores
  • Stock taking – Assisting in monthly Stock taking andreconciliation of physical inventory.
  • Assist in updating daily, weekly, monthly and year-to-dateinventory movement report
Proper audit trail and orderly filling of all records
  • Full compliance to INFRATEL policies and procedures
  • Ensure prompt preparation of GRN’s to Accounts for paymentprocessing
  • Ensure that the Daily Tasks and Status report is completedand sent to the Supervisor on weekly.
Customer Services       
  • Ensure all user requests are processed in 24 hours.
  • Ensure that all users receiving or delivering stock provideor receive documentation, respectively.
  • Full Grade 12 Certificate with 5 O’levels
  • Diploma in Purchasing and Supplyfrom the Chartered Institute of Purchasing & Supply (CIPS) or Chartered Institute of Logistics & Transport or any related.
  • Qualifications must be certifiedby the Zambia Qualifications Authority (ZAQA)
  • Good understanding of Stores Management, familiar with INFRATEL products and services, Knowledge of processes, products, and user department’s specifications

  • Minimum of two (2) years of experience preferably in Inventory/ Warehouse/ Stores Management.
