Job Description

The Human Capital Officer is responsible for supporting the daily operations of the Human Capital (HR) function of the business. This role focuses on maximizing the value of the organization’s workforce by assisting with talent acquisition, employee relations, performance management, training and development, and ensuring compliance with labour laws. The Job holder will act as a bridge between management and employees, fostering a positive, productive, and inclusive work environment.

Key Responsibilities

Talent Acquisition &Onboarding     
  1. Assist in therecruitment process, including drafting job descriptions, posting vacancies,screening resumes, and scheduling interviews.
  2. Conductinitial HR interviews and coordinate background checks or referenceverifications.
  3. Coordinate andexecute the onboarding process for new hires, ensuring they receive necessarytraining, tools, and a seamless introduction to the company culture.
Employee Relations &Engagement
  1. Serve as aprimary point of contact for employee inquiries regarding policies, procedures,and benefits.
  2. Promote apositive work environment through employee engagement initiatives, feedbacksurveys, and team-building activities.
  3. Assist inresolving low-level workplace conflicts and grievances in a fair andconfidential manner.
Performance Management 
  1. Support theimplementation and monitoring of the annual performance appraisal process.
  2. Provideguidance to employees and line managers on setting objectives and keyperformance indicators (KPIs).
  3. Maintainaccurate records of performance reviews and development plans.
Training & Development        
  1. Identifytraining needs within departments through consultations with managers andperformance data.
  2. Coordinateinternal and external training sessions, workshops, and professionaldevelopment programs.
  3. Track trainingbudgets and evaluate the effectiveness of programs.
HR Administration &Compliance   
  1. Maintainup-to-date and highly confidential employee records (both digital and physicalfiles).
  2. Ensureorganizational compliance with local labour laws, health and safetyregulations, and internal policies.
  3. Assist in thepreparation of monthly HR metrics, reports, and data for payroll processing(e.g., leaves, attendance).
Disciplinary Matters
  1. Provideguidance to employees on disciplinary procedures and labour law compliance witha view to fostering compliance and subsequently prevent industrial unrest inthe organisation
  2. Maintaindisciplinary records and reports
Employee separations           
  1. Conduct exitinterviews and provides relevant feedback to the Company; and
  2. Liaises withother departments and units to ensure that the leaving employee hands over allCompany property as may be required.
Staff Wellness                            
  1. Promote theoverall health and wellness of the employees by organising fitness programs.
  2. Coordinateemployees’ medical scheme in order to ensure easy access to medical facilities
  • Full Grade 12 Certificate
  • Bachelor’s Degree in Human Resource Management, Business Administration, Public Administration or a related field.
  • Member of Zambia Institute of Human Resource Management
  • Solidunderstanding of local labour laws, statutory regulations, and HR bestpractices.
  • Analytical,innovative and problem-solving skills;
  • Excellentrelationship building skills;
  • Strongproficiency in the use of analytics;
  • InterpersonalSkills i.e. Exceptional communication and active listening skills with theability to build trust across all levels of staff.
  • Problem-Solvingi.e. Strong conflict-resolution skills and the ability to handle sensitivesituations with diplomacy and empathy.
  • Organizationi.e. Excellent time-management skills with a proven track record of managingmultiple tasks and deadlines simultaneously.
  • TechnicalProficiency i.e. Familiarity with Human Resources Information Systems (HRIS), Sage300 People, Applicant Tracking Systems (ATS), and standard office software(e.g., Microsoft Office Suite, Google Workspace).
  • Minimum of 3 years of relevant work experience.
